Controller & Contact
VocabPath (add legal entity name) is the data controller for this website. Address: [Your company address]. Email: privacy@vocabpath.com.
What we collect
- Information you provide — email, country, exam, timeline, motivations, optional reasons (“Why now?”, minutes/day), and Founding Member/marketing choices.
- Automatic data — IP address (stored as a one-way hash), user-agent, referrer, UTM parameters, device/browser info; limited cookies for essential site functions and, if consented, analytics.
- From third parties — email service providers (delivery status), analytics (if enabled).
How we use data
- • To process request-only beta applications and manage early access.
- • To send a single confirmation email (double opt-in) and, if you confirm, service messages.
- • If you opt-in, to send product updates and offers (you can withdraw consent anytime).
- • To improve the site and product (aggregated analytics, A/B testing where applicable).
- • To detect abuse and keep our services secure.
Legal bases (GDPR/UK GDPR)
- Contract / pre-contract — processing your application and providing early access.
- Consent — marketing emails (explicit opt-in), non-essential cookies/analytics.
- Legitimate interests — sending one confirmation email, securing our services, preventing abuse, and improving the product (balanced against your rights).
International transfers
If data is transferred outside the UK/EU, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses.
Retention
- • Unverified application records: typically deleted within 30 days.
- • Confirmed records: kept while you remain on the waitlist/using the product, then minimized or deleted per policy.
- • You can request deletion at any time (see Your rights).
Your rights
Depending on where you live, you may have rights to access, correct, delete, or export your data, object to or restrict certain processing, and withdraw consent. To exercise rights, contact privacy@vocabpath.com. You may also have the right to complain to your data protection authority.
Marketing choices
We only send marketing if you opt-in during the request flow. You can unsubscribe via any email or by contacting us. We’ll continue sending essential service messages as needed.
Security
We use technical and organizational measures appropriate to the risk (e.g., hashing IPs, least-privilege access). No method is 100% secure; please use caution when sharing information online.
Children
VocabPath is not directed to children under the age required by local law to consent to data processing without a parent/guardian. If you believe a child has provided data, contact us to remove it.
Changes
We may update this Policy. If changes are material, we’ll provide reasonable notice (e.g., posting on the site). Your continued use after the effective date means you accept the changes.
